Reservation Change, Cancellation, and Refund Conditions
• To confirm a hotel reservation, the full accommodation fee must be paid in advance.
• A confirmation letter will be sent by the Organization Secretariat within one week after participants complete their reservation procedures.
• If you do not receive the confirmation letter, please contact the organization secretariat at ([email protected]).
• For completed reservations, requests for changes to the accommodation date, name changes, or room category changes will be accepted until November 1, 2024, at the latest. No changes will be made to requests received after this date.
• Hotel reservation cancellations and refunds:
- Cancellations made by October 15, 2024, at the latest will receive a full refund without any deductions.
- Cancellations made by November 1, 2024, at the latest will receive a 50% refund.
- No refunds will be issued for cancellations made after November 1, 2024.
• Requests for reservation changes and cancellations will only be accepted in writing via email; requests made by phone will not be accepted.
